Tested Airtable over four weeks running three real workspaces: a 1,200-record CRM-lite for inbound leads, a content calendar across 4 channels with 80 scheduled assets, and a hiring tracker for 25 candidates across 8 roles. Baseline was Notion databases for the previous setup and a Salesforce-lite for the CRM angle. Specifically wanted to validate Airtable AI fields for categorization and summarization, Interface Designer for stakeholder views, and the Automations engine for cross-record workflows.

AI fields for categorization were the standout feature - typing a prompt like classify this lead as enterprise or mid-market or SMB based on company description worked accurately on roughly 88 percent of records without any model tuning. Interface Designer let me build a stakeholder-facing dashboard for the content calendar in roughly 90 minutes that would have taken days in Notion or required a developer in Salesforce. Automations with conditional logic handled the lead-routing flow reliably, and the trigger-action vocabulary covered roughly 80 percent of what Zapier would do at zero additional cost. Filtering and grouping at scale (1,200-plus records) stayed snappy.

Pricing scales steeply past the free tier - Team plan at 24 USD per user monthly is the realistic starting point, and Business at 54 USD is required for the most useful features (sync integrations, formula advanced). For a 10-person ops team that is 6,500 USD annually. Performance degrades noticeably past 50,000 records per base - we hit slowdowns on a 75,000-row archive in week three. AI field cost compounds quickly - 88 percent accuracy consumed half our monthly AI credit allocation in 12 days. Interface Designer feels powerful but the learning curve is real - non-builders cannot construct their own views. Data export options are limited compared to a real database.
