Interface Designer let me build a stakeholder-facing dashboard for the content calendar in roughly 90 minutes that would have taken days in Notion or required a developer in Salesforce. Automations with conditional logic handled the lead-routing flow reliably, and the trigger-action vocabulary covered roughly 80 percent of what Zapier would do at zero additional cost. Filtering and grouping at scale (1,200-plus records) stayed snappy.

Pricing scales steeply past the free tier - Team plan at 24 USD per user monthly is the realistic starting point, and Business at 54 USD is required for the most useful features (sync integrations, formula advanced). For a 10-person ops team that is 6,500 USD annually. Performance degrades noticeably past 50,000 records per base - we hit slowdowns on a 75,000-row archive in week three. AI field cost compounds quickly - 88 percent accuracy consumed half our monthly AI credit allocation in 12 days. Interface Designer feels powerful but the learning curve is real - non-builders cannot construct their own views. Data export options are limited compared to a real database.

Best for ops-heavy teams who treat spreadsheets as databases and want structured workflows above 100 records. Notion fits teams who want collaborative docs as the primary surface with databases secondary. Coda overlaps significantly and may win on formula sophistication. Pure CRM use cases above 5,000 records belong in HubSpot or Salesforce. Pick Airtable when database-as-app is the actual job, not document collaboration.
