I evaluated Calendly as the scheduling layer for a 3-rep sales team running discovery calls plus client check-ins, with Cal.com S164 and Reclaim already shortlisted. Setup speed was the first test: connecting Google Calendar plus generating a working public booking link took under 90 seconds, and the 2-way sync caught conflicts on existing meetings without manual refresh. The polished default UX matters more than I expected for a customer-facing booking experience.
What worked best was the depth on routing plus integrations. The routing form sent enterprise prospects (annual revenue qualifier) to a senior rep round-robin while SMB leads dropped onto a junior queue. Stripe payment collection on paid consult calls bookable inline meant we did not need a separate checkout flow. The Salesforce sync auto-created opportunity records on every booked call with the right campaign attribution. Group event scheduling for monthly office hours and one-click reschedule flows worked without rep intervention.
What broke or surprised: the per-seat pricing math. 3 reps on the Teams tier at 16 USD per seat per month totals 48 USD per month, which is structurally higher than running Cal.com self-hosted for zero (open-source) or 12 USD per seat hosted. Several features I wanted (group events, advanced routing logic, removable Calendly branding) were locked above the Standard tier, so the effective starting price for a real sales team is the Teams plan not the 10 USD entry point. Mobile push notifications for new bookings were inconsistent on iOS during the test week.
Verdict in cohort: Calendly stays the default for revenue-team scheduling where UI polish plus Salesforce or HubSpot CRM sync depth matter more than seat-cost optimization. Cal.com S164 wins for technical teams who can self-host and want open-source ownership. Reclaim wins for personal calendar defense rather than external booking. Pick Calendly when the buyer is a sales ops lead, Cal.com when the buyer is the CTO.
Avoid if
Avoid Calendly if total team size exceeds 5 reps and budget is a constraint (Cal.com self-hosted hits zero seat cost), or if you need full white-label branding without Calendly logos (locked behind the Teams plan, not free or Standard). The per-seat ramp gets expensive fast above 5 seats.
