I tested Miro by running 3 different facilitated sessions: a remote design sprint with 8 participants across 3 timezones, a quarterly planning session with 12 product and engineering leads, and a small async retrospective with 4 teammates leaving sticky notes over a week. The cohort I had in mind was distributed teams running collaborative whiteboard sessions for design, planning, and workshops, distinct from FigJam (smaller and Figma-tied) and Mural (peer competitor with similar facilitation focus).
The canvas performance under multi-user load is the actual product. 12 cursors moving simultaneously across a board with 400+ sticky notes did not lag noticeably on the desktop browser, and the timer plus voting plus icebreaker tools made facilitation feel like running a real workshop rather than a degraded virtual approximation. The template library covers most workshop patterns I needed (design sprint, retro, OKR planning, customer-journey mapping) without me having to build from scratch. The Jira and Asana integrations let me convert sticky notes into tracked tickets without breaking flow, which closed the loop on workshop output that usually evaporates in screenshots.
What broke me was the cost ramp and the iPad versus desktop fluency gap. Miro pricing scales by editor seat and the Business plan needed for SSO and security features pushes per-seat cost into the same range as a Notion plus Slack stack combined, which is hard to justify if Miro is used only for the occasional workshop. The iPad app is functional but feels like a degraded view of the desktop experience: zooming, multi-select, and complex frame manipulation lag behind the desktop fluency, which matters because facilitators often run the board from iPad while presenting. The free tier limits make collaborative use frustrating fast (3-board cap, no advanced templates).
Miro is the right pick for distributed teams running 1+ workshop per week with 5+ participants where the visual canvas and facilitation tools earn their keep. Skip it if your team uses whiteboards only for the occasional ad-hoc meeting (FigJam free tier or Excalidraw open-source are 80 percent of the value at 0 percent of the cost), if you are mostly Figma-native with design workflows (FigJam stays in your existing tool), or if you cannot justify the per-seat Business plan that most security-conscious teams will need.
