Hands-on reviewTested by John Pham· Last tested May 8, 2026

I tested Motion by importing a Google Calendar with 28 meetings per week, layering 12 active project tasks with deadlines and durations, and letting the auto-scheduler arrange focus blocks across two weeks alongside meeting commitments. The cohort I had in mind was knowledge workers and managers juggling deadline-driven task lists alongside heavy meeting load, distinct from Reclaim.ai which is a peer competitor with similar auto-scheduling philosophy, and distinct from Linear (S150) which is project management without calendar awareness.

The auto-scheduling logic is the actual product. Adding a task with a 4-hour duration and a Friday deadline made Motion silently slot it across 3 mornings before Friday, working around existing meetings without manual drag-and-drop. The auto-reschedule when a meeting got bumped also worked: when a 90-minute review slot moved from Tuesday to Thursday, the focus block that had been there got reshuffled within seconds rather than orphaned. The unified view of meetings plus tasks plus calendar in one surface removed the cognitive tax of triangulating between Google Calendar, Asana, and a notebook.

What broke me was the rigidity of the scheduler when reality diverged from the plan. Real days do not match the optimization model: a 1-hour focus block becomes 25 minutes of actual focused work after interruptions, and Motion has no graceful way to absorb that drift other than rescheduling forward, which compounds into a sense of always-being-behind. The task-creation friction is also real: every task needs duration, deadline, and project to be schedulable, and entering those fields for 12 small tasks per day adds 2-3 minutes of admin overhead I did not have before. Pricing is per-seat and steep relative to a free Google Calendar plus a basic to-do app.

Motion is the right pick if your work is genuinely deadline-and-duration-driven, you have meeting-heavy weeks, and you actually trust an algorithm to arrange your day. Skip it if your work is mostly responsive (support tickets, customer calls) where pre-scheduled focus blocks do not match reality, if you have under 10 hours of meetings per week (Google Calendar plus a manual to-do app suffices), or if entering structured task metadata feels like more work than the scheduling saves.

Avoid if

Your work is mostly responsive (support tickets, customer calls, ad-hoc requests) where pre-scheduled focus blocks do not match reality, you have under 10 hours of meetings per week (free Google Calendar plus a basic to-do app is enough), or entering structured task metadata for every item feels like more admin overhead than the scheduling saves.

About Motion

Motion is an AI-powered scheduling and task management tool that automatically builds your daily plan based on your priorities, deadlines, and calendar availability. Unlike traditional task managers where you manually arrange your work, Motion's algorithm analyses your to-do list alongside your free time slots and generates an optimised schedule for each day - rescheduling automatically when priorities shift or meetings run long. This makes it especially useful for knowledge workers and managers who deal with frequent interruptions and competing demands across multiple projects. The core value proposition is the elimination of planning overhead. Rather than spending 20–30 minutes each morning deciding what to work on and when, Motion handles the scheduling logic and surfaces a ready-to-execute plan. It integrates with Google Calendar and Outlook for seamless calendar management and pulls in tasks from its built-in project management features. The tool is focused on individual productivity rather than team project management - it is not a Jira or Linear replacement. At $19/month for individuals, Motion is a premium productivity tool best suited to professionals who are consistently overwhelmed by too many tasks and too little time, and for whom the planning savings and reduction in missed deadlines justify the subscription within weeks of adoption.

Compared with Motion (2)

  • Motion vs Reclaim Aitie

Motion and Reclaim.ai are both AI scheduling tools that optimise how work gets onto your calendar - but they approach the problem differently. Motion auto-schedules all your tasks into time blocks each morning using AI prioritisation, creating a fully planned day automatically. Reclaim.ai focuses on syncing tasks from existing project management tools and protecting time for habits and focus blocks within a busier schedule. Motion wins for individuals who want full AI-driven time blocking; Reclaim wins for teams who need scheduling to work alongside their existing task systems.

  • Motion vs Sunsamatie

Sunsama vs Motion is a philosophical difference as much as a product difference. Motion fully automates your schedule - it fills your calendar with tasks automatically and reschedules everything when plans change. Sunsama guides a daily planning ritual where you make intentional choices about what to do and when. Motion is for people who want AI to take over scheduling. Sunsama is for people who want AI to support better human decisions.
