Editor's verdict

PandaDoc is one of the strongest freemium tools in its category, rated 4.6/5 by 4,100 users. Best for sales teams sending high-volume proposals with crm integration and hr teams creating and collecting signed onboarding documents. Standout: built-in e-signature included at no extra cost. Watch out: advanced automation features require Business plan or higher.

Hands-on reviewTested by John Pham· Last tested May 17, 2026

I tested PandaDoc as the document automation platform for a sales team running proposals plus quotes plus contracts plus NDAs, comparing it to DocuSign IAM and Proposify for the same job. PandaDoc has been the document-workflow-plus-e-signature head-term since 2014 for B2B sales teams who need more than pure e-sign (the DocuSign legacy), so the question was whether the proposal builder plus CRM-native quoting plus e-signature in one tool earns the price premium.

What worked best was the template library combined with the CRM-native quoting workflow. Pre-built proposal templates plus contract templates plus NDA templates loaded with placeholder variables that auto-filled from Salesforce or HubSpot opportunity records, so a rep generating a proposal for an enterprise prospect typed 3 fields then sent for signature. The pricing tables module supported tiered SKUs plus add-on options plus discount logic, generating a real quote inside the proposal rather than as a separate PDF attachment. Tracking analytics showed time-per-section plus signature completion rate plus prospect re-opens, which gave sales managers funnel insight that pure DocuSign does not surface. The conditional content blocks (show case study A for SMB segment, case study B for enterprise) reduced rep editing time for proposal personalization.

What broke or surprised: enterprise tier required for half the analytics plus team-collaboration features (CRM integration plus content library plus approval workflows are gated). Per-seat pricing at the Business tier of 49 USD per user per month adds up for 15-plus rep sales teams. Template builder UI showed friction on complex multi-page layouts compared to dedicated proposal tools like Proposify. Mobile signing UX on prospect side was good but the rep-facing creation app was desktop-first. Integration with non-Salesforce non-HubSpot CRMs (Pipedrive, Zoho) ran on the Lite Zapier-backed sync.

Verdict in cohort: PandaDoc for B2B sales teams running 50-plus proposals per month where unified proposal-plus-quote-plus-e-signature plus CRM-native variables matter more than best-of-breed depth on any single dimension. DocuSign IAM for enterprise legal-led e-signature workflows where compliance plus audit trail are primary. Proposify for proposal design depth without quoting needs. Better Proposals for SMB under 20 reps wanting simpler workflow. Pick PandaDoc when the buyer is the Head of Sales plus the work is recurring proposal generation, not occasional contract signing.

Avoid if

Avoid PandaDoc for occasional e-signature only (DocuSign cheaper per envelope), for proposal design depth as primary need (Proposify wins on the design canvas), or for under 5-rep teams (Better Proposals or HelloSign at lower price point).

About PandaDoc

PandaDoc is a document automation and e-signature platform used by over 50,000 businesses to create, send, and track proposals, quotes, contracts, and onboarding documents. The platform includes an AI content assistant that helps draft proposal sections, suggest pricing structures, and generate product descriptions from a brief input. Templates cover the most common business document types - sales proposals, service agreements, NDAs, statements of work, and HR documents - and are customisable with drag-and-drop fields for text, images, pricing tables, and e-signature fields. Once a document is sent, PandaDoc tracks exactly when the recipient opened it, which sections they spent time on, and whether they forwarded it to another stakeholder, giving the sending team real-time visibility into deal engagement. The built-in e-signature is legally binding in most jurisdictions and requires no additional subscription. PandaDoc integrates with Salesforce, HubSpot, Pipedrive, and other CRMs to pull contact and deal data directly into documents, eliminating copy-paste errors. For teams that send a high volume of proposals or contracts, PandaDoc reduces the time from deal agreement to signed document from days to minutes. The free plan includes unlimited document uploads and e-signatures with basic features, making it accessible for freelancers and small teams before committing to a paid plan.

Compared with PandaDoc (2)

  • PandaDoc vs Proposifytie

PandaDoc and Proposify are both leading proposal platforms, but they target different team profiles. PandaDoc is a broad document automation platform covering proposals, contracts, quotes, and HR documents with a generous free tier - built for teams of any size that want one tool for all business documents. Proposify is a focused proposal management platform built specifically for agencies and service businesses that send high volumes of branded proposals - it has stronger team controls, a richer content library, and more detailed proposal analytics. PandaDoc wins for teams that need a versatile all-in-one document workflow at low cost. Proposify wins for agencies and service teams where proposal consistency, close rate analytics, and brand compliance across the whole team are the priority.

  • PandaDoc vs Qwilrtie

Qwilr and PandaDoc are both proposal platforms, but they take fundamentally different approaches to what a proposal should be. Qwilr proposals are interactive web pages - the prospect opens a URL, configures pricing options, embeds video, and accepts and pays in a single browser session without downloading anything. PandaDoc proposals are rich document-style files with e-signature that feel more like a traditional proposal in digital form. Qwilr wins when the buying experience matters - modern buyers who expect a polished web interaction, configurable options, and instant acceptance. PandaDoc wins when document format matters - industries, counterparties, or deal types where a structured PDF-style document is expected, or when the team also needs contracts and HR documents in the same platform.
